Sell fast. Keep records an inspector can follow.

Firearms are tracked as individual serialized units rather than as a quantity on a shelf, so every unit has its own history from receipt to sale.

• Each unit stores its serial number, manufacturer, importer (when applicable), model, type and caliber or gauge.
• Unit status moves through in-stock, reserved and sold, so a firearm on layaway is never double-sold.
• Receiving a shipment records the acquisition date and source against each unit at the moment stock is added.
• Non-serialized goods — ammunition, optics, accessories — stay on ordinary quantity-based inventory.

Every movement of a serialized unit is written to an immutable transaction history you can export when you need to reconcile against your bound book.

• Acquisitions capture date, source and the unit details entered at intake.
• Dispositions capture date, the transaction that moved the unit and the linked customer record.
• Layaway reservations, payments, cancellations and final pickup are all timestamped separately.
• History rows are append-only in the app: corrections are recorded as new entries rather than silent edits.

The POS does not replace ATF Form 4473 or the NICS check. It gives you a place to record the reference details so your paperwork and your sales records line up.

• Record the 4473 reference and background-check details against the sale before it is completed.
• Sales are linked to a customer record, so a transaction can be traced back to the buyer on file.
• Tax-exempt sales capture a reason and reference number for the exemption.
• Complete, sign and retain the physical or e-form 4473 exactly as your license requires.

Layaway is where records most often drift. Firearms placed on layaway are reserved, not disposed, until the customer takes possession.

• Reserved units are pulled out of sellable stock but remain in your acquisition records.
• Every installment is receipted with date, amount and remaining balance.
• Disposition is only recorded when the unit is actually handed over, after your transfer paperwork is complete.
• Cancellations return the unit to stock with the reversal captured in history.

When an inspection or an internal audit comes, the work is pulling clean records quickly rather than reconstructing them.

• Filter inventory and sales by date range, category, clerk or serial number.
• Export reports to PDF or CSV for your compliance binder or accountant.
• Revenue reporting separates sales tax and card surcharges from net revenue.
• Reports reflect the same underlying records the register writes — there is no second set of numbers.

Knowing who did what is part of a defensible record. Roles and per-clerk sign-in keep actions attributable.

• Admins manage inventory, settings, pricing and reports; clerks are limited to the register.
• Clerks sign in with an individual PIN, so each transaction is attributed to a person.
• Data is stored on an authenticated backend with row-level access rules — records are not held only on the terminal.
• Product images and customer details are served through authenticated, signed access rather than public links.

Most recordkeeping errors are typing errors. Scanning at intake and at the register removes the keystrokes.

• Any USB or Bluetooth keyboard-wedge scanner works — no drivers or extra hardware.
• Scan UPCs at intake to attach a unit to the right product, then enter the serial once.
• Scan at checkout to pull the exact unit into the cart instead of searching by name.
• A built-in scanner test in Settings confirms your device is configured before a busy shift.
