Gunrunner POS — full user guide
Step-by-step tutorials for everything in the app: signing in, clerk PINs, barcode scanners, stock, checkout, layaways, reports, settings and installing the app. No account required to read this page.
Gunrunner is a point of sale and inventory system for firearms and sporting goods retailers. Two kinds of people use it: admins (full access) and clerks (register only).

Open the app
Go to your store URL. You'll land on the splash screen with two buttons: Admin Login and Clerk Login.

Create the first admin account
Choose Admin Login, switch to the Sign up tab, and enter a work email and password. The first account is the shop owner. Demo data is seeded automatically so you can practice before going live.

Take the guided tour
After your first sign-in an in-app walkthrough appears. It covers the scanner test, adding stock, running a sale and pulling a report. You can re-launch it any time from Settings → Help.

Learn the layout
The left sidebar is your main navigation: Dashboard (today's numbers), POS (the register), Inventory, Layaways, Reports and Settings. On phones, tap the menu icon to open it.
Admins sign in with email and password. Clerks sign in with a 4–6 digit PIN so they can switch quickly during a shift without typing an email.

Add a clerk
Sign in as an admin → Settings → Clerks → New Clerk. Enter the clerk's display name and a 4–6 digit PIN, then save.

Sign in as a clerk
From the splash screen choose Clerk Login, tap the PIN on the keypad and press Enter. The clerk is taken straight to the POS screen.

Switch clerks mid-shift
Use the clerk chip in the top bar to sign the current clerk out and hand the terminal to the next one. Every sale records which clerk rang it.

Add another admin
Have the person sign up with their own email, then grant them the admin role from Settings → Clerks/Users. Admin access unlocks Inventory, Reports and Settings.

Change or reset a PIN
Settings → Clerks → pick the clerk → set a new PIN. PINs are stored hashed; nobody, including an admin, can read an existing PIN back.
Tips
- Never share a PIN between clerks — per-clerk PINs are what makes sales attributable.
- Deactivate a clerk instead of deleting them so past sales keep their history.
Any USB or Bluetooth 'keyboard wedge' scanner works — the kind that types the barcode as if it were a keyboard. No drivers required.

Plug it in / pair it
USB: plug into the terminal, wait for the beep. Bluetooth: put the scanner in pairing mode and pair it from your device's Bluetooth settings.

Run the scanner test
Go to Settings → Scanner. Click the test field, then scan any barcode. The panel reports the characters received and the keystroke timing.

Fix a missing Enter suffix
If the test says the scan never 'submitted', your scanner needs a carriage-return suffix. Scan the 'Add CR/Enter suffix' configuration barcode from your scanner's manual and re-run the test.

Scan on the POS screen
On POS you do not need to click into the search box first. The app listens globally for scanner-speed keystrokes and drops the matching item straight into the cart.

No scanner? Search by name
Type any part of the product name or UPC in the POS search field and pick the result. Everything works without hardware.
Tips
- If scans land in the wrong field, click on an empty area of the POS page and scan again.
- Slow, character-by-character input is treated as typing, not a scan — that is intentional.
Inventory holds every product, its cost, retail price, quantity on hand and (optionally) individual serial numbers.

Create a product
Inventory → New Product. Fill in name, UPC (scan it straight into the field), category, cost, retail price, quantity on hand and a low-stock threshold.

Mark serialized items
Toggle 'Serialized' for firearms and other high-value goods. You then record each unit's serial number individually, and the POS asks which serial is leaving the shop at checkout.

Add serial numbers
Open the product → Serials panel → Add serial. Each unit is tracked as available, reserved (held on a layaway) or sold.

Bulk import from CSV
Inventory → Import CSV. Download the template, fill it in from your spreadsheet or old system, then upload. Rows are validated and any problems are listed before anything is saved.

Add a product photo
Open the product and upload an image. Photos appear in the POS grid and make picking faster for new clerks.

Restock and adjust
Open a product and edit the quantity when a shipment arrives or a count is corrected. Items at or below their low-stock threshold are flagged on the Dashboard.
Tips
- Always enter true cost, not retail — Reports use it to compute COGS and gross profit.
- Use consistent category names; Reports break revenue down by category.
The POS screen is the register. A normal sale takes three actions: scan, tender, done.

Start the sale
Open POS. Scan the item's barcode or search by name. Each scan of the same item increases quantity by one.

Adjust the cart
Change quantity with the +/- controls, or remove a line entirely. For serialized products, pick the specific serial number leaving the shop.

Apply discounts and extra charges
Enter a percentage or a flat dollar discount. Add a miscellaneous charge for transfer fees, background-check fees, engraving or shipping.

Check the totals
Tax is calculated on the discounted subtotal using the rate in Settings. The total is subtotal − discount + tax + miscellaneous charges.

Take payment
Choose the payment method (cash, card, other). For cash, enter the amount tendered and the screen shows the change due.

Finish
Complete the sale. Stock is decremented, serials are marked sold, the sale is attributed to the signed-in clerk, and a receipt is generated for printing or saving as PDF.
Tips
- Need to hold an item for a customer paying over time? Use Layaway instead of completing the sale.
- The Dashboard reflects the sale immediately — refresh it to confirm.
A layaway reserves stock for a customer who pays in installments. The app calculates tax, deposit, payment amounts and due dates, and prints a signable agreement.

Start a layaway
Either build a cart on POS and choose Layaway at checkout, or go to Layaways → New Layaway and add products there directly.

Enter the customer
Start typing the customer's name — existing customers autocomplete. New customers are created and linked automatically.

Set the terms
Enter the deposit (amount or percent), the payment frequency (weekly, bi-weekly, monthly) and the number of payments. The schedule, per-payment amount and final due date are calculated for you, tax included.

Print the agreement
Generate the layaway agreement PDF. It lists the items, totals, full payment schedule and your store's terms, ready to print and sign.

Record payments
Open the layaway → Record payment, or use 'Pay next installment'. Payments are applied oldest-first and a payment receipt PDF is available for each one.

Track and close out
The Layaways list shows balances, progress bars and overdue contracts. When the balance hits zero the layaway completes, stock is released to the customer and serials are marked sold.

Cancel a layaway
Cancelling releases the reserved stock back to inventory and applies the restocking fee configured in Settings → Layaway.
Tips
- Enable Settings → Layaway Reminders to text or email customers before each due date.
- Reserved serials are unavailable at POS until the layaway completes or is cancelled.
Reports answer 'what did we sell, what did it cost us, and what do we owe in tax' for any date range.

Pick a date range
Reports → choose a preset (today, this week, this month) or set custom start and end dates.

Read the numbers
You get net revenue (excluding sales tax), sales tax collected, COGS, gross profit and transaction count, plus breakdowns by category, by clerk and by day.

Export a PDF
Click Export PDF. The file downloads to your device — save it to your accounting folder or email it to your bookkeeper.

Keep a routine
Export at the end of every month (and every quarter for sales tax filings) so you always have an unchangeable snapshot of the period.
Tips
- Gross profit is net of tax — sales tax is never counted as revenue.
- Numbers depend on accurate product cost; fix costs in Inventory if profit looks wrong.
Settings is admin-only and is where the whole terminal is configured.

Store name, address and phone. These appear on receipts, reports and layaway agreements.

Your sales tax rate. Applied to the discounted subtotal on every sale and layaway.

Add, rename, deactivate clerks and set their PINs.

Gunrunner installs like a native app, opens in its own window with no browser bars, and keeps working when the connection drops.

Chrome / Edge on desktop or Android
Click Install app on the splash screen or in the sidebar — or use the install icon in the browser address bar.

iPhone / iPad (Safari)
Tap Install app and follow the on-screen guide: Share → Add to Home Screen → Add. iOS does not offer an automatic prompt.

Offline behaviour
The app shell and recent data are cached, so the register keeps loading if the internet drops. Sales still need a connection to save — reconnect before finishing a transaction.
Gunrunner prints receipts on 80mm (3 1/8") or 58mm (2 1/4") thermal rolls and prints reports on Letter or A4. Everything is calibrated in Settings → Printer & page setup.

Connect the receipt printer
Install your printer's driver (for example the Star TSP100III / TSP143IIIU driver), plug in over USB or add it on the network, then set it as the default printer on the terminal. Nothing needs installing inside Gunrunner.

Set the paper roll
In Settings → Printer & page setup, pick 80mm or 58mm. The print width fills in automatically: 68mm for an 80mm roll, 48mm for a 58mm roll.

Print the test page
Tap Print test page. The test shows a full-width bar plus the words Left edge and Right edge. If either side is clipped, lower the print width by 2mm and print again.

Fix printing that shifts to one side
Use the left offset. A negative number moves everything left, a positive number moves it right. Adjust in 0.5mm steps until the bar is centred on the paper.

Driver settings that matter
In the browser print dialog set Margins to None and Scale to 100% (never 'Fit to page'), and turn off headers and footers. In the printer driver choose the matching paper size and 'Receipt' / 'Document' feed so no blank paper is fed at the end.

Text too small or too large
Change the receipt text size (in points). 9pt suits an 80mm roll; try 8pt on 58mm paper so item names don't wrap.

Print automatically after a sale
Turn on 'Print receipt automatically after a sale' to open the print dialog the moment payment is taken. Leave it off if you only print on request.

Reports and PDFs
Choose Letter or A4 and portrait or landscape for printed reports. On the Reports page, Export PDF saves the same layout as a file you can email to your accountant.
Tips
- Add a store logo under Settings → Store Information. Use a wide, high-contrast PNG — thermal printers are black and white only.
- Keep a spare roll at the register: thermal paper prints nothing once the ink layer runs out mid-receipt.
- If the printout is faint, the roll may be loaded upside down — thermal paper only prints on the coated side.
